Add and manage users
Add your team in the admin console. Everyone chooses their own password through a setup link.
Add one person
- Open Users and fill in Email address and Full name.
- Choose how they get a password: a setup link, so they choose it (recommended), or a password you set and share privately.
- To email the link, enter an address they can read today, such as their personal email. You can also copy the link or use Send on WhatsApp.
The link works once and expires after 7 days. After choosing a password, the person lands on their setup page. A mailbox password needs at least 12 characters and three of these: lowercase, uppercase, digits and symbols.
Add many people from a CSV file
- In Users, open Add many users from a spreadsheet (CSV).
- Download a template, or use a Google Workspace user export as it is.
- Upload the file. Patra checks every row first and shows what it will do.
- Confirm. Then use Download setup links (CSV). You can download it only once.
Each file can hold up to 100 people. Any passwords in the file are ignored.
While your account is being reviewed, you can add up to 5 users.
Look after people
| Task | How |

| Reset a password | Send a password reset link from the person’s row, or use Set password yourself and tell them privately. A new password signs the person out of webmail and their mail apps. |
| Recovery email | Add a personal address, so they can reset their own password. |
| Storage limit | Choose Limit to … GB (the list offers sizes smaller than your plan, from 1 GB), or Shared storage (no own limit). |
| Device setup | Phone & computer setup next to the person (the link works for 30 days). |
| Suspend | Suspend stops them signing in and sending until you Resume. Their new mail still arrives. |
| Delete | Delete stops sign-in and mail to the address straight away. Restore works for 30 days. After that the mailbox can be deleted for good at any time; to have it deleted straight away, write to us. |
The users list shows who hasn’t chosen a password yet, and when their link expires.
“Sending paused”. If a person’s row says sending is paused because of many bounces, someone else probably has their password. Set a new password or send a reset link, and sending resumes.
